Bulk Electrical Material Order β Contractor Guide (Chennai)
If you run 5+ electrical jobs a month in Chennai, how you structure your BOQ and stage deliveries is what separates a profitable contractor from a busy one. This guide covers BOQ format, slab negotiation, delivery staging, credit terms and how to manage changes mid-project.
What a good BOQ looks like
A clean BOQ has seven columns, in this order:
- S.No. β for reference during quote discussions
- Category β switches, wires, MCB, lighting, fans, accessories
- Brand β Anchor / Havells / Polycab / Asmon, etc.
- Model / SKU β specific model name (Roma Plus 16A 3-pin, not just "3-pin socket")
- Quantity β include unit (nos / coil / ft / mtr)
- Room / location β hall, master BR, kitchenβ¦ used for delivery staging
- Remarks β colour, finish, special notes
Send it as an Excel / Google Sheets link, not a WhatsApp text. The distributor can quote line-by-line in the same sheet, you have a paper trail, and you can re-use the template for future projects.

Avoid vague entries like "some switches" or "about 5 coils". Distributors hedge on vague BOQs, which costs you money.
Slab pricing β how to unlock it
Contractor slabs in Chennai typically kick in at these thresholds:

You lock a slab by submitting your projected monthly volume and 3 months of past invoices (any distributor). Slab is re-evaluated quarterly based on actual run-rate.
Staging deliveries β the 3-phase model
Deliver all the material on Day 1 and half gets misplaced, half gets damaged on a dusty site. Instead, stage in three phases tied to construction milestones.
Phase 1: Pre-concealed wiring (Day 1β3 of electrical work)
- Wires (all coils)
- PVC conduit, bends, coupling
- Concealed box (16/32 way)
- Earthing strip and rod
Phase 2: Post-plaster (after painting starts)
- MCB / RCCB / DB board
- Modular boxes (not switches yet)
- Ceiling fan rods and hangers
- Lighting points rough-out
Phase 3: Finishing (after paint cures, before handover)
- Modular switches and plates
- Sockets, USB points, AC points
- Light fittings, LED panels, fans
- Doorbell, CP unit, smart switches
Staged delivery = less breakage, less theft on-site, cleaner installation.
Credit terms β what's normal
- Net 7-day β you pay within 7 days of invoice. Standard at starter slab.
- Net 15-day β mid slab. Most Chennai contractors run here.
- Net 30-day β project slab. Typical for > βΉ2 L/month run-rate with a clean payment history.
- PDC / post-dated cheque β still common in Chennai. Keep a 30-day buffer between invoice and PDC date.
- Retention β 5β10% withheld by customer from your BOQ payment until handover. Distributor won't match this β you carry the gap.
Avoid dragging a payment beyond the term. Late payment Γ 2 quarters downgrades your slab.
Handling change-orders mid-project
- Customer adds 2 fans and 4 downlights after concealed wiring is done β run surface conduit from the nearest concealed box. Order material as a delta-BOQ β mark it "Addendum #1 to PO#xyz" so it doesn't confuse the staged delivery schedule.
- Customer changes switch brand from Roma Plus to Roma Urban after plaster β no problem; modular boxes are universal. Return unused Roma Plus unboxed (15% restocking fee usually waived at project slab and above).
- Customer adds a 2-ton AC after Phase 2 β needs 4 sqmm wire + 25A MCB + 16A dedicated socket + copper earth. Delta-BOQ. Expect 48-hour lead for 4 sqmm if multiple colours.
Returns and replacement policy
- Unopened modular switches / accessories β full refund or credit, 15 days from invoice date.
- Wire coils β sealed only. Opened coils are not returnable (no way to verify length remaining).
- Lighting fittings / LED panels β sealed only. Opened units subject to 10% restocking.
- Installed and found defective β standard brand warranty applies. Distributor swaps over-the-counter; no need to involve the customer.
- Damaged-in-transit β photograph on site, WhatsApp within 24 hours, replacement dispatched same day.
